Job Title: Receptionist/Administration Assistant

Band 2: £9.65

Team: Outpatients Department

Location: M R Eye Hospital

Working Hours: 37.5, Mon – Fri, Between 07:30 – 17:00

Role: Temporary

JOB PURPOSE:

The Receptionist/Administration Assistant is responsible for providing a full range of clerical support services as part of the MREH Inpatient Services Team, in line with relevant local and national policies, procedures, protocols and guidelines. Inpatient Services includes Ward 55, Pre operative Assessment clinics, the Day Case Unit, inpatient admissions and Withington Community Centre. The post holder will mainly contribute to the reception services on the ward, pre op assessment and day case units, supported by the Inpatient Admin Manager.

KEY DUTIES AND RESPONSIBILITES:

• Greet patients and visitors to inpatient areas, directing them as appropriate and informing the relevant clinical staff of their arrival

• Answer all telephone calls politely ensuring enquiries are dealt with appropriately and that any relevant information is passed on to the appropriate person

• Deal with messages on the answering machine regularly and appropriately

• Ensure all relevant details are accurately entered on to the electronic patient administration system

• Ensure appointments are offered to patients within National statutory waiting times, escalating to the Inpatient Team Leader when this is not possible

• Produce electronic daily clinic lists and request medical notes where necessary

• Book medical notes into the relevant areas via the appropriate data entry system

• Maintenance of the patients’ record folders whilst they remain in the ward, arranging for renewal if required

• Check that all documentation is complete when the patient is ready for discharge, including any follow up appointments, before the notes leave the ward

• Ensure that discharge letters are available to patients leaving the ward by ensuring that the clinical staff complete all discharge documentation

• When requested, arrange follow-up appointments, patient transport, in-patient sick-notes and portering requests

• Maintain supplies of patient information literature

• Complete (by entering data confirmed by the nurse in charge) the daily computerised bed statement

• General office duties

• Check stationary stock levels on a regular basis and order ward stationary from suppliers as required in agreement with line manager
