The role

Our client is looking for an Administration Officer to support its CEO with day-to-day operations. Responsibilities will include:

Inputting purchase ledger invoices onto Sage to ensure timely and accurate payment to suppliers
Ensuring all BACS payment runs, cheques, CHAPS, foreign payments, and remittance advices are processes and completed accurately  
Managing supplier accounts, including aged creditors, debit balances, unmatched items, duplicate payments, and statement reconciliation
Dealing with supplier queries
Assisting withy expense claim processes and purchasing card administration
Assisting with month end activities
Providing information to support internal and external audits
Processing bank feed on SAGE and reconciling bank accounts on a weekly basis
Ensuring all bank mandates and banking administration is kept up to date
Creating and issuing sales ledger invoices
Supporting the CEO with cashflow forecasting
Assisting external accountants with the review of control accounts and intercompany transaction
Answering queries
Supporting the charity with procurement activities by undertaking souring and tendering activities
Working with third party training providers to ensure training and accreditation expiry dates are managed
Administration surrounding on site first aid representation, fire marshal, assisting with fire alarm testing and maintenance
Ensuring compliance with all charity policies e.g., Equality & Diversity, Health & Safety
Arranging staff and client meetings
Managing diaries
Organising travel arrangements
Liaising with Business Development and Marketing regarding arrangements for events and producing marketing materials
Ensuring the client database is accurate and up to date
The person

Previous accounts administration experience would be advantageous but is not essential
Previous office-based administration experience
Competent and accurate data entry skills
Strong IT skills
Good written and verbal communication skills
Previous customer service experience and ability to interact with a wide variety of people
Ability to prioritise and organise workload

Salary

Circa £25,000 plus 25 days holiday and pension

Hours of work

37.5 per week, 100% office based some flexibility required
