Job Title: Recruitment and Reception Officer

Location: Wath-upon-Dearn, S63

Pay Rate: Up to £20 per hour dependant on experience

Hours: Full time, 37 hours per week

Length of the contract: 2 months initially, with the potential to extend

Grafton Recruitment are now seeking to appoint a Recruitment and Reception Officer to our Public Sector client in Wath-upon-Dearne. The Recruitment and Reception Officer will provide professional and high-quality customer service to internal and external customers. The successful candidate will ensure that all stakeholders receive a positive experience when they make course enquiries, whether in person, over the phone or via electronic communication. You will provide a range of professional, pre-entry information and advice to potential and existing customers, referring to specialists where appropriate.

Duties of the Recruitment and Reception Officer

Provide the first point of contact for members of the public, visitors and staff.
Undertake reception duties in a professional and courteous manner.
Maintain an appealing, welcoming and professional reception area.
To respond to incoming calls in a positive and professional manner.
To deal with all queries as far as possible and if referring on, to provide the next member of staff with sufficient information to deal with the query.
Provide initial information, advice and guidance on courses offered in an impartial setting.
To follow up on queries to ensure the customer receives all the required information to make a decision in a timely fashion.
Process applications and enrolment accurately and efficiently, process in line with policies and procedures.
Manage the UCAS system to process HE applications and offer places on HE courses.
Work collaboratively with other departments to ensure potential learners receive initial assessments and suitable support in the application process.
Liaise with members of the curriculum teams to manage interviews, course offers and record each stage on ProSolution.
Update applicants on the progress of applications.
To contact new learners by phone, email and / or text to congratulate them on receiving an offer and to ensure they have all the necessary information to start their course at the appropriate time.
Deliver tours to potential applicants as required.
To provide information and advice in a range of internal and external settings.
To follow up enquires and leads gathered from recruitment events and other sources to enable the college group to actively recruit new learners.
To support enrolment days, working with the curriculum teams to ensure learners receive a positive experience and are successfully enrolled onto the course of their choice.
To contribute to the content of targeted publicity materials (web based and other media) to ensure that information on courses, fees, admissions and progression routes are easily assessable to the public.
Follow admissions procedures to ensure all applications are processed meeting key performance indicators.
To assist with routine enquiries, offer preliminary support, refer for further assistance and follow up as appropriate.
To support out of hours events such as open events as required.
Input data relating to customer enquiries.
Share information and good practice with wider teams.
To complete references following data protection procedures.
To process internal and external post (including franking machines).

Experience Required

Experience of working in customer facing role.
Experience of working within an educational environment.
Experience of working in an education-based information advice and guidance environment.
Experience of working with accurate data entry.
Level 2 Literacy and Numeracy or willingness to undertake.
Level 3 Information Advice and guidance or willingness to work towards.
Level 2 Customer Services or equivalent or willingness to work towards.
Excellent customer service skills.
Ability to demonstrate flexibility and team working.
Able to work in an organised and methodical manner.
Excellent communication skills both written and verbal.
Excellent IT skills including Word, Excel and Access and the ability to retrieve, organise, analysis and present data.
Ability to work on own initiative without supervision.
Ability to prioritise tasks and meet deadlines.
The ability to listen to enquirers and quickly assess their information and advice needs
Pleasant and helpful approach at all times.
Work in a professional and confidential manner with a high degree of integrity and flexibility.
Ability to work with a range of clients in respect to ages and ability.
