Overview
Trigon Recruitment are recruiting for a well established National Training Provider who are continuing to expand their delivery. With a strong presence in the South and East of England in particular, this Ofsted Grade 2 provider are seeking to appoint an experienced and qualified Project Co-Ordinator.
Role Overview
To undertake administrative duties to support all three BBO programmes to meet targets, outputs, and contract requirements.
Work with all key stakeholders within the programme to ensure the quality of service and overall success of delivery.
Work with a team of colleagues to further develop and implement processes to continue to improve the efficiency, effectiveness and successful delivery of the programme.
To meet individual and BBO contract monthly KPIs and targets as set out by the business
Attention to detail and high quality, accurate work is required with tasks completed in a timely manner to deadlines ensuring that all records and administration are audit and contract compliant.
The position is fixed term until 31st March 2023 and is for 37.5 hours per week – Monday to Friday.
Requirements of the role
* To review monthly financial claim submissions from Partners for compliance to contract specific requirements and complete contract claim records.
* Work with Finance team to verify accuracy of financial reporting and accuracy of financial record keeping
* To provide accurate internal financial reporting to Programme Managers and Senior Management Team
* To collate and check all Participant forms and produce concise Participant files electronically and in hard copy where appropriate.
* Monitor and report to the Programme Managers any under-performance risk so that necessary steps can be placed to address this.
* Assist the Programme Managers with performance reviews with these delivery partners.
* To submit Quarterly claims following contract and corporate guidance to meet deadlines.
* To address any issues arising from the claim submissions and Audits with Partners, the Programme Managers, and the auditor as appropriate in order to achieve resolution.
* To identify individual issues but also identify the implications for similar projects and issues; work to resolve these, comprehensively across the programme.
* To assist partners to understand and meet the requirements of the projects by, for example, running training sessions, providing templates and assisting with the correct completion of documentation.
* To complete precise data entry onto the relevant data systems.
* To create and maintain Excel spreadsheets and other records as required.
* To create new and continuously improve the administrative systems to meet the needs of the programme and ensure that these are kept up to date and in a format which complies with ESF, Lottery and other funding bodies’ audit requirements.
* To accurately store all paperwork in a logical and timely manner.
* To liaise with internal colleagues and external partners by telephone, email and other electronic means.
