Executive Assistant / Office Manager £35k to £38k

6 months contract – Charity

My client is an independent charity and is committed to promoting change that can improve the quality of life and wellbeing of people who are affected by the systemic poverty, social injustice, and inequality in our society.

They are moving offices and need a strong Executive Assistant / Office Manager to support the small executive team and manage the day-to-day office facilities, including the reception staff.

Hours are 9.00am to 5.00pm Monday to Friday, 30 days holiday pro rata to time worked. Some flexibility required

Job content as below

* Working alongside the OD/CEO/FD to ensure the smooth running of the office

* General office management

* Liaising with third party service providers including contractors and IT service providers etc.

* Ensuing that the proper functioning of IT systems for all members of staff including dealing with problems and issues as they arise

* Managing multiple internal systems and processes, completing data entry to ensure accurate collation of information

* Co-ordinating diaries for meetings

* Organising meetings for team members and taking minutes were necessary

* Ensuring health and safety standards are up to date

* Maintenance of office supplies (e.g., stationery, toners, paper etc.) and stationery order etc.

* Documents scanning, filing, and archiving

* Assisting with generating presentations

* Arranging binding of presentations

* Creating word / PowerPoint documents

* Creating Excel spreadsheets for miscellaneous tasks

* Manage various HR matters

* Support the Council of Management including taking minutes, co-ordinating preparation of papers and associated matters

* Ad-hoc updates to the employee handbook and associated organisational policies and procedures
