Data Administrator – Skills Bootcamps

Are you an experienced Data Administrator who is methodical, supportive and passionate about delivering a quality service? Are you competent at using IT systems, familiar with the education sector and confident in learning new systems and processes?
 
In this role you will work as part of a the Compliance and Admin team and lead on the administration and data entry of learner information, including ensuring funding claims are accurate and processed on time and responsible for the claiming of certificates for learners who have completed their Skills Bootcamps in Analysing Data or Digital Leadership. 
 
Our purpose is to develop better futures for all our staff and learners, and we encourage applications from diverse backgrounds, and we are looking for a Data Administrator to support with the day to day administration on a part time basis, based from our central Derby office. Our ideal candidate will have prior knowledge and experience of working with DFE/ESFA funded programmes such as Skills Bootcamps, however full training and support will be given.

Summary of role 
The post holder will be responsible for maintaining and updating effective systems and procedures that meet internal KPI’s and ensure compliance with government funding and awarding body organisation requirements. 

Brief summary of principle accountabilities
– Responsible for ensuring learners are registered for relevant qualifications/accredited programmes/CPD portals/within internal timescales.

– Claiming of all certificates upon confirmation of compliant documentation.

– Ensuring all funding claims are prepared on time.

– Prior to submission of funding claims, checking for accuracy and compliance.

– Ensuring funding claims are made in line with funding guidance.

– Compliance checking of records through regular audit of data collected and stored (sampling).

– Reporting all errors or gaps in data in a timely manner.

– Process all certificates upon receipt, issuing to learners at the appropriate time. 

– Ensuring all copies of documentation is uploaded and securely saved to the relevant electronic system. 

– Support with archiving of both electronic and hard copy documentation ensuring adherence to funding and awarding body requirements. 

– To maintain and develop positive relationship with internal and external customers.

– Making a positive contribution to the effective functioning of the department and quality standards.

– Attend and complete any mandated training or meetings as provided to ensure continuous improvement in practice.

– Regularly review own performance against core values, competencies and performance scorecard, with a willingness to acquire any necessary qualifications or skills pertinent to the role.

– Implement and maintain own CPPD records to accurately demonstrate preservation of professional competencies and knowledge for vocational area of specialism.

– Work collaboratively towards the achievement of the department’s targets, Babington’s Purpose, Vison, Mission and Values. 

– Act as an ambassador for Babington exhibiting enthusiasm and professionalism.

Qualifications

Grade A-C GCSE in English and Maths or equivalent

Level 2 Business and Administration Qualification 

Level 3 Business and Administration Qualification or willingness to acquire 

Skills and experience 

Experience of working within an Administration environment (D)

Experience of working with DFE/ESFA funded programmes (D)

Experience of data inputting using an online system (E)

Experience of delivering high level of service and satisfaction (E)

Ability to work effectively as part of a team (E)

Ability to deliver to agreed targets (E)

IT literate and proficient in Microsoft Office particularly the Word, Excel and Outlook (E)
