Overview
Technical Administrator – 30 hours per week (4 days)
To provide an administrative and communication function for operational activities and the operations management team ensure the Company complies with its outside legal/regulatory requirements and internal policies.
* To update and maintain operational inspection schedules including but not limited to, fleet service and maintenance, statutory inspections, emergency response and risk management.
* To schedule and facilitate the E- learning training system for manufacturing and distribution operations, so that customer needs and compliance obligations are met.
* To ensure that all formal training certifications are logged in the Quality Management System and to advise the appropriate operations manager when training is approaching refresh dates, so that all drivers and other certificated employees within operations comply with regulatory and operational requirements.
* Collate periodical inspection records, documentation and programmes and store accurately in order that documentation is readily available, and we comply with our obligations
* Record any concerns or deficiencies identified and assign to appropriate department lead, follow up on any concerns noted to ensure correct action has been taken
* To accurately report on environmental, social and governance (ESG) metrics including vehicle fuel consumption, scanning, infringements, energy usage and waste disposal in order that the operations Management team can take action to maintain compliance, targets, and costs within budget.
* To process Incident reports and insurance claims so that incidents are promptly investigated with re occurrence prevention in place, and any insurance claims are settled within an acceptable time frame.
* To maintain the company document management system, including approved sub-contractor data base, ensuring the content is controlled in line with document control procedures, periodically reviewed and approvals are actioned in a timely manner.
* To prepare, in line with defined templates, and present for approval to the responsible manager, operational control documentation.
* To update and maintain customer compliance requests and safety schemes in procurement (SSIP) platforms subscribed to by the company so that our profiles remain approved and visible to our customers.
Requirements for the role:
* Good written and spoken English
* Good attention to detail
* GCSE grade C / Grade 4 (or equivalent) level numeracy
* Proficient in MS Excel.
* Broad Knowledge of the MS office suite including Outlook and Access data base.
* Accurate data entry skills
* Polite and efficient telephone manner.
* Workload planning to deliver work to deadlines
* Ability to identify opportunities for improvement
* Working knowledge of MS Power BI – desirable but not essential
* Basic understanding of MS flow – desirable but not essential.
