Job Title: Administrator – Immunisation Care Team

Location: Ashington

Salary: £10.05 per hour.

Job type: Full-time hours are available working 37 hours per week. Monday to Saturday. This is a temporary Fixed Term contract for 4 months.

Valens Medical Partnership is the largest family doctor-led GP Practice in the Northeast, looking after the healthcare needs of around 52,000 patients across Northumberland.

Our surgeries are in Ashington, Cramlington, Lynemouth, Morpeth, Newbiggin, Pegswood, Seaton Delaval and Seaton Sluice. You will need to be able to travel across these sites.

Purpose of role:

To work within the Immunisation Care Team.
To make outbound calls and receive inbound calls from patients to book appointments into vaccination clinics.
To offer dual covid and flu vaccinations where applicable.
To process and record data onto patient records within given time frame.
To work through and action tasks.
To assist in non-clinical designated areas of immunisation clinic delivery: Including clinic preparation, meeting and greeting patients, reception check in, patient care within the clinic and administration tasks.
To undertake any other additional tasks given.Main Duties:

As part of the Immunisation Care Team you will be point of contact for patients to book into our clinics for immunisations – e.g. Covid/flu vaccinations. You will make outbound calls to patients and answer incoming calls. You will assess eligibility and offer covid or dual covid and flu vaccinations where applicable.
Ensure all patient records are kept up to date at the point of transaction and that such record keeping is accurate and complies with all data protection legislation. As part of your duty of care to patients, protecting their data 'as if it were your own' is a fundamental part of this role and you are expected to follow all reasonable measures to do so (including screen locking and careful storage of paper records and appropriate physical site controls).
Confirm appointment details to the patient, checking that they understand time and location so that DNAs can be actively prevented. You may be required to utilise technology to do this (for example by sending text messages) and so checking that contact details are up to date is important.
Represent the Valens Medical Partnership in all that you do, being a brand ambassador for the Organisation and the NHS alike through professional and caring interactions. This includes competent and confident complaints handling, where you should aim to own and positively conclude patient concerns.
Identify patient cohorts and immuno suppressed patients who may be eligible. You are expected to remain up to date with covid clinic delivery policies and procedures.
Complete all administrative duties carefully and competently within given time frame.
You will cover face to face duties and must always engage with patients in a professional and calm manner.
Operate to required performance standards, ensuring that the quality of work you deliver is within the guidelines agreed, including (but not exclusively) customer service/patient care, document/record keeping and productivity.
