Main Purpose

Trigon Recruitment are recruiting for a national training provider to support the effective delivery of the Restart Programme. The Administrator post supports a team of Employment Advisers and Trainers in the delivery of employability and vocational training and information advice and guidance (IAG) to participants referred to us by Job Centre Plus and other referral partners.

General Support

The Administrator will also be responsible for a variety of other ad hoc database administration and customer and employer contacts activities as detailed below:

* Managing the reception area and taking accountability for the Health and Safety within the main area and up to date display of literature and Job Boards.

* Assisting with general queries about the programme from participants both in person and by telephone, providing them with a professional service and timely response to any queries that cannot be resolved there and then.

* Supports the team with their development of systems that ensure contractual compliance is followed, minimise financial risk and ensure the quality of data entry meets CSS (Customer Service requirements of the contractual obligations, minimise financial risk and ensure the quality-of-service delivery to service users.

* Provide the Quality Manager with required quality assurance and compliance reporting as appropriate.

* Work closely with key internal and external stakeholders to ensure the needs to the customer and business unit are delivered in full.

* Manage a schedule of ongoing audits and observations to ensure the quality and compliance of service delivery.

* Coordination and management of any regulatory audits and inspections including readiness reviews.

* Act as the nominated expert domain for quality assurance, compliance, and payment claim/validation within the business

* Work closely with key internal and external stakeholders to ensure the needs to the customer and business unit are delivered in full.

* Issue vouchers and petty cash through the personal job account, according to strict rules as provided, carrying out regular reconciliations of vouchers and petty cash as required and reporting this to the finance department and line management.

* Carrying out, as directed by the line manager, telephone-based contact with participants to encourage and remind them to complete evaluation of service surveys.

* Carrying out, as directed by the line manager, telephone-based contact with employers and hiring managers to encourage and remind them to provide stencils evidencing sustained employment and where necessary, carrying out visits to hiring managers to obtain these.

Person Specification

* At least one year's previous demonstrable experience in providing a high-quality customer service both face to face and by telephone in a target driven environment such as a contact centre or retail environment.

* At least one year's previous demonstrable experience of high-volume input into complex databases where accuracy is essential.

* Experience of Quality auditing and identification of any areas of contractual risk

* Advanced knowledge of Excel and Microsoft Word

* A minimum of 2 A-Levels or an equivalent Level 3 Diploma.

* GCSE English Language at a minimum of a Grade B (or equivalent Level 2 qualification). OR achievement of a Level 2 in Literacy Assessment at interview stage.

* Ability to work under pressure to short timescales and multi-task a variety of competing activities concurrently, managing expectations of all parties adequately in the process.

* A very high level of attention to detail with a desire to always ensure accuracy.

* Excellent decision-making skills.

* Communicates effectively clearly and concisely conveys information.

Desirable Criteria:

* Knowledge of the Government's Skills or employability agenda ideally gained through work within the sector.

• Experience of working in a compliance environment ideally within the Employability sector

• Experience of CRM based systems

• Experience of the DWP’s Provider Payments and Referral System (PRaP)
