MAIN OBJECTIVES
The Sales Administrator will work with the Sales Admin Team Leader maintaining current business levels and developing first class communication links with Customers and all departments within the Company in order to become a technical communication resource for our customers. Responsible for the control and clearance of imports and exports for materials and finished products ensuring transactions are processed in accordance with compliance regulations and all transactions are correctly recorded and disclosed to HM Customs and Excise.
KEY RESPONSIBILITIES
Managing OEM customers’ requirements.
Ensuring customers receive support and progress information on all orders and routinely advising customers of any delays or changes in delivery dates.
Ensuring customer satisfaction to uphold and enhance the Companys reputation
Coordinating with Manufacturing to manage customers’ expectations.
Working with customer portals.
Handling Repair requests from Customers and accurately entering them into the Company computer system.
Control of material shipments into the UK from freight forwarders and logging details in accordance with Importing Work Instructions.
Entering import details into the ERP System, understanding Tariff Codes and description of goods checking.
Maintaining proof of import/export documentation.
Accurate entry of sales orders into the Company computer system
Ensuring that sales documentation meets with the Company's QA procedures.
Liaising with other departments and Spellman corporate to ensure customer requirements are understood and that progress is monitored.
Analysing customer orders and enquiries to assist the Sales Team as required.
Liaising with Key Customers on forecast, current order details and deliveries
Dealing with routine enquiries from customers.
Providing quotations to customers for Spellman Products and chargeable repairs.
Provide company's literature and Technical Manuals to Customers as required.
Record keeping of all temporary imports/exports.
Provide assistance as required to cover staff absence.
Understanding the ISO9001 (Quality), ISO14001 (Environmental) and ISO45001 (Health & Safety) standards ensuring their requirements are understood and adhered to throughout the organisation. Commit to achieving the Company Business, Quality, Environmental and Health & Safety objectives and policies, ensuring adequate resources are readily available. Review Business, Quality and Environmental systems on a regular basis to ensure compliance and continual improvement.

Understanding of internal processes for goods receiving and shipping including repair orders.

Ability to show initiative in the enhancement of sales procedures and practices.
